Arrowhead Veterinary Centre is seeking an amazing full time Hospital Manager to join our fantastic team. We are a privately-owned small animal clinic located in the heart of Cochrane’s Historic Downtown. We have a state-of-the-art facility and our clinic is staffed with a veterinary team who have extensive experience in all aspects of companion animal medicine, surgery and emergency procedures. Our team is friendly and enthusiastic and we continually strive towards excellence when working with our wonderful clients and patients. We truly care about our staff and their well-being.
Hours: Our hours of operation are Monday to Friday from 7:30 am to 5:30 (6:00) pm and Saturday from 9:00 am to 2:00 pm.
Job Summary:
- Working under the direction of the Practice Owners, the Hospital Manager will supervise, direct, plan, and coordinate a variety of service functions to support the team. Utilizing tools of education, motivation, collaboration, coordination, evaluation, and analysis, the Hospital Manager ensures optimal client and staff satisfaction and that the hospital is achieving its core mission and values.
Essential Duties and Responsibilities:
- Medical and Clinic Management:
- Maintain protocols for hospital procedures to ensure standard operations.
- Perform year-end checks and procedures to finalize annual operations.
- Oversee the maintenance and repairs of computer equipment to ensure proper functionality.
- Manage necessary repairs, maintenance schedules, and enhancements of all non-medical and medical equipment to maintain a safe environment.
- Ensure compliance with veterinary industry regulations and regulatory agencies, ABVMA; OH&S.
- Provide RVT coverage when necessary to support medical operations.
- Evaluate the need for new medical equipment and discuss with the Practice Owners for timely upgrades.
- Oversee the client communication network system and ensure timely updates and messages.
- Monitor and update the Cornerstone system to maintain accurate records.
- Assess and report flow and efficiency concerns to the Practice Owners for continuous improvement.
- Inventory Management:
- Monitor the inventory control system to ensure appropriate inventory levels are available.
- Adjust inventory reorder points in Cornerstone to align with sales data.
- Perform inventory ordering, receiving, and return tasks to maintain inventory levels.
- Review and communicate updates on medications, supplements, and prescription diets to staff regularly.
- Oversee the Online Store, including updating items, addressing client billing concerns, and managing recurring orders.
- Meet with representatives to discuss new products, special offers, and update staff accordingly.
- Employee Management:
- Lead daily huddles to ensure clear communication and coordination among staff.
- Assist the HR Manager with performance appraisals and staff compensation reviews.
- Support the HR Manager with hiring and performance issues.
- Gain and maintain a thorough understanding of all positions in the clinic to provide effective oversight and support.
- Lead monthly Team, Staff and Management meetings
- Oversee training for new employees
- Encourage staff to pursue learning opportunities and coordinate Lunch and Learns to have continuous growth and development
- Manage monthly and day-to-day scheduling of DVMs, RVTs, TAs, and Client Care Specialists.
- Client Relationship:
- Oversee and manage client reminder services to ensure timely communication.
- Resolve medical and dietary complaints by maintaining effective communication with clients,
- doctors, and staff, ensuring accurate medical notes.
- Track data and acquisition for strategic planning.
- Develop and implement marketing and public relations ideas, including promotional items, advertising, website updates, social media engagement, and community outreach.
- Financial Management:
- Assist the Practice Owners in establishing fees for services, medicines, and OTC items.
- Review and discuss inventory analysis for effective inventory management.
- Oversee Accounts Receivable and Payables, reporting concerns to the Practice Owner.
- Monitor billing errors and make corrections to prevent ongoing errors.
Qualification Requirements:
- High School diploma or equivalent.
- 2 years of veterinary managerial experience.
- 5 years RVT experience preferred
- Licensed RVT under ABVMA preferred.
Knowledge and skills:
- Must possess excellent written and oral communication skills. Must understand and have a good working knowledge of job-related technology, medical terms and procedures. Must have ability to work independently, follow instructions, work well with others, ability in problem solving and give attention to detail.
